What Cahoots stores

An account holds a name, email, avatar, Away image, team membership, and settings. Sign-in sessions store the IP address and browser user agent. Email invites store the invited address. Desk notes stay until the owner or author clears them, or until they are 14 days old.

Camera stills

Every few seconds the device takes a still, blurs it, and sends it to everyone on the team. Outside a call, stills are black and white. In a call the still is in color, and the rest of the team sees it blurred; people in the call see live video. Busy, or a call with the door closed, blurs stills heavily. The server keeps only the latest still, in memory, for at most 90 seconds, and never writes it to disk. The one exception is a still saved as an avatar, after confirming.

Calls

Live call audio and video go through LiveKit. Cahoots does not record or transcribe calls.

Face detection

Face detection runs on the device. Nothing from it leaves the device.

Waitlist

Joining the waitlist sends the person a confirmation email and emails the address to support@cahoots.app. That address is not stored in the Cahoots database.

Feedback

Send feedback in the app emails what you write, and an image if you attach one, to support@cahoots.app, with your name, email, team name, app version, platform, and browser and operating system. The app does not store it.

Other services

Email uses Resend, and the desk notes email digest sends note text through Resend. Server errors use Sentry, and page analytics use Fathom (cookieless). The waitlist form uses Cloudflare Turnstile to tell people from bots. Google handles sign-in when that option is used.
